How to calculate the full cost of commuting, including your time

A cheap-looking commute can be expensive once a parking pass, tires, repairs, depreciation and door-to-door time are visible. The useful answer has two totals: money that leaves your budget and an optional generalized cost that adds your own value of time.
Keep those totals separate. Calling every commute hour “lost salary” creates false precision when the hour could not actually have been sold as paid work.
Direct answer
A commute costs more than gas or a transit ticket. Add energy, maintenance, depreciation, fares, parking, tolls and monthly fixed costs, then subtract employer reimbursement. Show travel time separately and assign it a personal value only if useful; it is not automatically equal to your wage. In this 20-day driving example, cash cost is $532, 20 hours of travel valued at $10 per hour add $200, and the optional full monthly cost is $732, or $36.60 per commute day.
Inputs to collect
- Actual office days in a typical month, not a generic 22-day assumption
- Round-trip miles from route history and days with detours or multiple sites
- Fuel or electricity cost per mile using current price and observed efficiency
- Maintenance, tires and repair reserve per mile
- Depreciation attributable to additional mileage, kept separate from the loan payment
- Transit fare or pass, parking, tolls and other daily or monthly charges
- Employer transit, parking or mileage reimbursement actually received
- Door-to-door minutes including walking, waiting, transfers and parking search
- Optional personal value per hour, including a zero-value cash-only view
Formula
Monthly cash cost = commute days × [round-trip distance × (energy + maintenance + depreciation per distance) + daily fare + parking/tolls] + monthly fixed commute costs − reimbursement. Monthly commute hours = days × round-trip minutes ÷ 60. Optional full cost = cash cost + commute hours × chosen personal time value.
Worked example
Drive 20 days a month, 30 miles round trip. Energy is $0.12/mile, maintenance $0.10 and mileage-related depreciation $0.20; parking/tolls are $8/day and fixed insurance/registration allocated to the commute is $120/month. Distance cost is $252 and other cash cost $280, for $532 cash. Sixty minutes a day equals 20 hours; at a deliberately chosen $10/hour, time adds $200. Full cost is $732, or $36.60 per office day.

Limitations
- The IRS business mileage rate is designed for eligible business use and reimbursement, not a universal estimate of a personal commute or an automatic commuter deduction.
- Do not add a full loan payment and full depreciation: principal becomes vehicle value. Use mileage-related depreciation or a total ownership allocation, not both.
- Time value is a preference or scenario input. Travel time is not automatically lost wages, and productive or enjoyable transit time may deserve a different value.
- Remote-work, housing and tax decisions need separate analysis. This estimate does not recommend a home, job, route, vehicle or tax position.

Start with actual office days and round-trip distance
Use a calendar and route history. Hybrid schedules, holidays, field visits and irregular shifts make a default five-day week unreliable. Multiply the round trip—not the one-way distance—by the days that actually use that mode.
Separate vehicle operation from ownership
Fuel or charging is only the variable edge. Add a maintenance and tire reserve plus mileage-related depreciation. IRS mileage methods demonstrate that vehicle cost contains more than fuel, but their business rate is not a personal commuting price or automatic tax deduction.
If you allocate insurance, registration or a parking lease as monthly fixed cost, do not add them again per mile. Likewise, do not combine a full car payment with full depreciation.
Transit needs pass economics and reimbursements
For transit, set vehicle distance costs to zero and enter either the pass or daily fares. Add first/last-mile fares and subtract only reimbursement actually received. A fixed pass may lower monthly cash but raise cost per office day when hybrid work cuts usage.
Time is a scenario, not a paycheck
Door-to-door time includes walking, waiting, transfers and parking search. Start with $0/hour to preserve the cash result, then test a personal value. Comfortable transit that supports reading may deserve a different value from stressful driving.
